Define the workflow requirement
Name users, tasks, decisions, handoffs, information, systems of record, volumes, peak periods, accessibility needs, locations, support expectations, retention, and current friction. Separate required outcomes from preferred features and marketing language.
Build a weighted evaluation
- Workflow fit, usability, accessibility, and adoption effort.
- Identity, roles, administration, logging, data protection, and recovery.
- Open interfaces, integrations, exports, portability, and ownership.
- Availability, performance, roadmap, support, subcontractors, and status communication.

Ask how secure defaults, strong authentication, vulnerability handling, logging, updates, support lifecycle, incident notification, data deletion, backup, and business continuity work. Review independent evidence within its scope and assign customer-side configuration and monitoring responsibilities.
Pilot real work and reversal
Use representative users, information, integrations, accessibility needs, volume, exceptions, administration, support, outage, and recovery. Measure accuracy, completion time, rework, experience, risk, and total effort. Export required information and configuration, then test offboarding before committing.
